The distribution method of account transactions into overhead pools and projects is specified using the Distribution Template option. The distribution template to be applied to the main, second or third chart of accounts is recorded using the New option on the Account Distribution Templates browser. The template definition information is as follows.

Account Code: The code of the G/L account in which the account distribution template will be used. The main, second or third chart of accounts is accessed by clicking the “…” icon, and the related account is selected.

Account Description: The name or the description of the G/L account to which the account distribution template will be applied. The description of the account specified on the Account Code field is transferred into the field. However, existing charts of accounts are also listed on this field, allowing selections or new definitions.

Code: The record code of the account distribution template. The Code field is mandatory.

Description: The name or the description of the account distribution template.

Organizational Unit: Indicates the organizational unit where the distribution template will be used. Organizational units are listed by clicking the “...” icon, and the related unit is selected.

Department: Indicates the department where the distribution template will be used. Departments are listed by clicking the “...” icon, and the related department is selected.

Aux. Code: A code field of 10 characters used to group template definitions. The Aux. Code is used to classify project cards by company specific criteria. 

Authorization Code: Used to define detailed authorizations. The string is 10 characters long. Each user may be authorized to use different records depending on job definitions. A planning process must be performed for detailed authorization definitions. First, records to be accessed or processed by each user or user group should be specified. Then, separate authorization codes are assigned to record groups accessible by each authorization group. Records are encrypted according to the information provided on the Auth. Code field so that only the users who log in with the specified authorization code can access and process the records.

Start / End Date: Indicates the date range in which the account distribution template will be used for G/L transactions.

Priority: The usage priority of the template.

The lines of the Distribution Template are used to record distribution of G/L account transactions into analysis dimensions and/or projects.

Analysis Dimension Code / Description: The code and description of the analysis dimension related to the G/L account transaction. Existing analysis dimensions are listed on both fields, and the appropriate definition is selected.

Project Code / Description: The code and description of the project related to the G/L account transaction. Existing projects are listed on both fields, and the appropriate definition is selected.

Project Activity Code: The activity code of the project related to the G/L account transaction.

Distribution Rate: The rate indicating the effect of the account transaction on the analysis dimension and/or project.
