The Bank Account Info option of the AR/AP card is used to record bank account info of the related AR/AP.
AR/AP bank account info is recorded by using the following fields:
  Branch No.

  • BI Code
  • Bank Name
  • Account No.
  • IBAN

In Branch No. field, the data entry can be done in "XXXX_YYYYY" (XXXX =Bank Code, YYYYY=Branch No.) format.

Bank account's currency type is specified at F. Currency Type field. When (...) button is clicked at "AR/AP Bank Branch - AR/AP Bank Account No – IBAN" options of received / issued money order slip lines, currency types are also listed in these fields.
In the event of using the account in e-banking transactions, E-Banking box is checked.

After IBAN entry, when "Control" button is clicked, which is located next to relevant field, you connect to IBAN Verification service via LogoConnect (You must have MyLogo account as a user). IBAN's validity is checked on MyLogo server (Whether International Bank Account Number is conformed to standards).


Direct Debiting System Info

Direct Debiting System (DDS) is a payment and collection system that enables a company (Distributor Company) that sells or provides service easily to a great number of customers/dealers to collect money automatically through a data procession network.
 
Within this system, payments of the buyers are automatically collected by the Bank on their due dates on behalf of the Main Company and transferred to the Main Company accounts. The Main Company collects receivables from the vendors and/or customers on the basis of the invoice information.

With this system all collection transactions are performed in electronic environment. Banks can open overdraft account for dealers who entered DDS system and when accounts are not available payments are made within the assigned limits of dealers.
Direct debiting info is recorded by Bank Info tab of AR/AP cards.

General Info is used to record account numbers for each bank that AR/AP Works with, used to enter IBAN number and used to determine if AR/AP is open for e-banking transactions.

Whether the related bank account is a direct debiting account or not, direct debiting limit and risk control method is specified by using the fields under Direct Debiting System heading. These fields are:

DDS Limit: This field is used to enter direct debiting limit.

DDS Total: Specifies the direct debiting total. When an invoice is made out with DDS payment type, the AR/AP bank branch's DDS total is increased which is selected in invoice lines. The method of risk control (in case DDS total exceeds DDS limit) is specified in DDS Risk Control field.

DDS Account: This field is used to specify whether the bank account belongs to direct debiting system or not.

DDS Risk Control: Risk control method for direct debiting transaction is determined in this field.

This field contains the following options:

  • Proceed
  • Warn User
  • Block


When "Proceed" is selected, the risk limit is not controlled.

When "Warn User" is selected, in the event of exceeding risk limit, when recording the transaction user is warned but if he wants to continue, the transaction is saved.

When "Block" is selected, in the event of exceeding risk limit the slip which belongs to transaction is not saved.

When direct debiting system is used, the bank guarantees to pay the invoice amounts itself. Therefore, unpaid debts are track within direct debiting system risk; not within charge account risk.

In sales or purchase invoice, when payment type is determined as DDS in selected account's (receivable/payable) card definition or when payment type is selected as DDS in Details tab of invoice, the check mark of "Will Affect Risk" field of invoice (Details tab) will be removed automatically. Unpaid debts of DDS are tracked within DDS risk.

Payment Transactions With Direct Debiting

Whether an invoice's payment type is direct debiting or not is determined according to the followings:

  • The account's (receivable/payable) payment type which is selected in invoice,
  • The payment type specified in invoice,
  • If Direct Debiting is selected in applied payment plan line.


If AR/AP Payment Type or Invoice's Payment Type is Direct Debiting:

If it is determined to make payments with DDS at Payment Type field of AR/AP card Business Info tab, when sales, purchase and return invoices are recorded payment transaction is recorded as DDS. Bank account code and AR/AP bank info must be entered certainly for limit control. These transactions are recorded in Bank Info page of AR/AP definition or if it is wanted to be filled automatically, in DDS Bank Account Code parameter line of Finance Parameters (Administration module) related bank account must be specified. The selected bank account is displayed in Account Code field of payment lines with DDS payment type. AR/AP Bank Branch is determined based on the specified "Bank-Branch Code" inside of the selected bank account card.

The DDS marked bank branch info (of invoice AR/AP bank info) is matched with bank branch code which is selected at bank account card. If there is more than one record belonging to same bank branch code with DDS check, first matching record is assigned to payment lines.

If DDS is selected in applied payment plan lines as a payment type:

Payment type of invoice can also be specified in Payment Plan as DDS. In this case, bank info and AR/AP bank branch will be displayed in payment transactions automatically.

In case there is inconsistency between AR/AP bank branch's bank-branch code and bank-branch code of bank account code on payment plan and payment lines, the application warns user with a message. If user wants to continue the transaction in spite of this inconsistency, he is not prevented.

When an invoice is made out with DDS payment type, the AR/AP bank branch's DDS total is increased which is selected in invoice lines. In case DDS total exceeds DDS limit, the application goes by the parameter option selected in risk control warnings.

In the event of selecting risk control method as "Warn User" in AR/AP definition, the application warns user with a message. In this case, user can continue the transaction or arranges the totals. If "Block" is selected, it is not allowed to make out the invoice.
It situation is valid for installment payments. When invoice due date is expired, the money order/EFT slip received from bank via Logo Connect is recorded to system.

Recorded money order slip's DDS field (in line) is checked. It closes the relevant payment transaction for which the money order slip is received. It affects DDS total field negatively (minus) for bank branch code of AR/AP Bank Branch field on slip lines. If it is not wanted to affect DDS limit, DDS field check of DDS line is removed.

Muhbir Hesap / VÖEN

Muhbir Hesap and VÖEN fields belong to Azerbaijani legislation which are located in Details tab. These fields take place in AR/AP cards' bank account tab in the event of working according to Azerbaijani legislation. Muhbir Hesap and VÖEN information entered to Bank Codes window in system administration program part are transferred to AR/AP cards automatically; can be changed if necessary.
