Letter of Guarantee slips are recorded using the New option in Finance > Transactions > Letter of Guarantee Slips browser.
The relevant slip type is selected in Slip Type field, and the "Continue" button is clicked.  
The letter of guarantee slip types are:

Letter of Guarantee Entry

The letter of guarantee entry may be from an AR/AP or a Bank. For letters of guarantee received from the AR/AP, the Entry from AR/AP transaction type is selected. For letters of guarantee received from banks, the Entry From Bank transaction type is selected.

Letter of Guarantee Issued (To Bank for Collection)

The Letter of Guarantee Issued (To Bank For Collection) type is selected to issued letters of guarantee received from AR/AP to bank for collection.

Letter of Guarantee Issued (To AR/AP as Collateral)

A letter of guarantee must be received from a bank in order to issue a letter of guarantee to a customer. This transaction is performed by selecting Letter of Guarantee Issued (To AR/AP as Collateral).

Letter of Guarantee Return

Four transactions can be select for the return of a letter of guarantee from an AR/AP or a bank. The transaction types are:

  1. Return to Bank (Company Letters of Guarantee)
  2. Return by Bank (AR/AP Letter of Guarantee)
  3. Return by Bank (Company Letters of Guarantee)
  4. Return by AR/AP (Company Letters of Guarantee)
  5. Return to AR/AP (AR/AP Letter of Guarantee) To return a letter of guarantee from an AR/AP by making a selection between previously issued letters of guarantee, the Return by AR/AP (Company Letters of Guarantee) option is selected. To return a letter of guarantee received from an AR/AP, the Return to AR/AP (AR/AP Letter of Guarantee) option is selected. To return a letter of guarantee received from an AR/AP and then issued to bank for collection, the Return by Bank (AR/AP Letter of Guarantee) option is selected. To return letters of guarantee received from banks, the Return to Bank (Company Letters of Guarantee) option is selected. To return letters of guarantee recevied from banks, the Return by Bank (Company Letters of Guarantee) option is selected.

Letter of Guarantee Collection

Letters of guarantee are collected at the bank using the following options.
1.Collected at the Bank (Company Letters of Guarantee)2.Collected at the Bank (AR/AP Letter of Guarantee)

The 'Letter of Guarantee' transaction type and the Collected at the Bank (Company Letter of Guarantee) child transaction type should be selected for the collection of a company letter of guarantee issued to a customer. The Collected at the Bank (AR/AP Letter of Guarantee) option is selected for the collection of letters of guarantee issued to the bank for collection.

Letter of Guarantee Issued (To Bank as Collateral

Letter of Guarantee Issued (To Bank as Collateral) type is used to send letter of guarantee received from AR/AP to the bank as collateral.

The following information is entered on the Add Letter of Guarantee window:
Type: The field used to specify the check/P. Note slip type. Slip types are listed and the related type is selected.
Slip Number: The tracking number of the letter of guarantee slip. Alphanumeric characters can be used to enter the employee number. Slips can be sorted by number. Each slip type used in Check/P. Note transactions uses a different sequence number. The Slip Number field is mandatory. Slips are searched, used or sorted by their numbers in transactions and reports. Search, sorting, report filtering transactions can be performed with ultimate speed using the slip numbers.
Slip Date: The date of transaction.
Aux. Code: A code field of 10 characters used to group slips. The Aux. Code is used to classify letter of guarantee slips by company specific criteria. The user can use this field to record any necessary information that is not included in the slip.
Authorization Code: Used to define detailed authorizations. The string is 10 characters long. Each user may be authorized to use different records depending on job definitions. A planning process must be performed for detailed authorization definitions. First, slips to be accessed or processed by each user or user group should be specified. Then, separate authorization codes are assigned to slip types accessible by each authorization group.
Organizational Unit: Indicates the organizational unit of the letter of guarantee slip. This field is used to associate the check/P. Note transactions with one of the defined organizational units of the company. The recorded organizational unit definitions are listed and the related definition is selected.
Department: Activities or activity groups within an organization, which are independent from each other in terms of organization and accounting. This field is used to associate the check/P. Note transaction with one of the defined departments of the company. Defined departments are listed, and the related department is selected.


Letter of Guarantee Slip Lines
Letter of Guarantee input/outputs and status changes by selected slip types are recorded by clicking the Continue button on the Add Letter of Guarantee window.
Information to be recorded on the slip varies depending on the letter of guarantee slip type. Transactions suitable for the selected type are specified and recorded using the "New" option.
