Amounts of materials or services purchased from lump sum companies (companies that can not issue invoices) are recorded with expense sheets. The Safe Deposit Code and Safe Deposit Transaction Number of the transaction are automatically displayed on the related fields.
The Document Number is the number of the transaction document. The document number entered here is automatically transferred into the Document Number field of the G/L slip generated when the transaction is posted to G/L.
The Customer Name/Surname field is used to enter the name and surname of the person supplying the material or service. The Address field is used to enter the address of the entity to which the payment will be made. If the expense sheet is related to an intercommunication service, the Plate Number field is used to enter the vehicle plate number.
The Chart of Accounts window accessed through Transaction, Stoppage and Fund Share fields is used to specify the G/L account to which the sheet information will be posted. The transaction field is used to specify the G/L account code to be used to track the transaction, the stoppage field is used to record the code of the stoppage account that will become payable with the stoppage amount, and the fund share field is used to record the code of the account that will become payable with the fund share amount. The Chart of Accounts window is opened by pressing on F10 key while the cursor is on the Transaction, Stoppage or Fund Share field.
The Expense Sheet may be related to a material or service purchase. The expense type is specified on the Service Type field. The G/L account codes of expense sheet accounts containing materials or services are different.
The Description field can be entered to enter a general description for the transaction.
G/L account codes of the expense sheet transaction are automatically transferred into the related fields if they are assigned during posting to G/L definitions. However, the account code can be changed if the transaction will be tracked under a different G/L account. Transactions are posted to G/L by processing the G/L account code entered here.
Tradesman Invoice (Issued)
The tradesman invoice (issued) is a document indicating a collection transaction, and is issued against a service provided. The Safe Deposit Code and Safe Deposit Transaction Number of the transaction are automatically displayed on the related fields, and can be changed if necessary.
The Chart of Accounts window accessed through the Transaction, Stoppage, Fund Share and Gross VAT fields is used to specify the G/L account to which the Tradesman Invoice (issued) information will be posted. The Transaction field is used to specify the G/L account code to be used to track the transaction, the Stoppage field is used to record the code of the stoppage account that will become payable with the stoppage amount, and the Fund Share field is used to record the code of the account that will become payable with the fund share amount. The Gross VAT field is used to specify the code of the VAT account to be applied to the gross fee total. The chart of accounts window is opened by pressing the f10 key while the cursor is on the transaction, stoppage, fund share or gross vat fields.
The Arrangement Date info is used for BA and BS Forms. It is the arrangement date of the invoice. This date is taken into consideration when the user selects "According to Form Arrangement Date" option at BA and BS Forms data import filter line.
The Stoppage Rate, Fund Share Rate and Gross VAT fields are used to record the stoppage rate of the tradesman invoice, the fund rate to be applied to the invoice, and the VAT rate to be applied to the gross fee total respectively.
The Currency Type field indicates the currency that will be used in the slip bottom to record transaction amounts.
The Gross Fee and Net Fee fields located at the bottom of the window are used to record the transaction amount. Totals are calculated according to the information recorded on the stoppage, fund share and gross vat fields, and transferred into the relevant fields.
The recorded Tradesman Invoice (issued) is displayed on the Safe Deposit Transactions list along with Safe Deposit Transaction Number, Date, Transaction Type and Debit Total information.
Tradesman Invoice (Received)
The tradesman invoice (received) is a document indicating a payment transaction, and is issued against a service purchase. The Safe Deposit Code and Safe Deposit Transaction Number of the transaction are automatically displayed on the related fields, and can be changed if necessary.
The Chart of Accounts window accessed through the Transaction, Stoppage, Fund Share and Gross VAT fields is used to specify the G/L account to which the Tradesman Invoice (received) information will be posted.
