P. Note information such as due date, amount and guarantors is recorded on a separate record for each P. Note. P. Note information is recorded using the P. Note record opened on the lines of the P. Notes Received Slips. Status changes in P. Notes are recorded using Group

Processing Slips.

When the LOGO application is used for the first time, P. Note information is recorded using the Transfer button located at the bottom of the checks/p. notes window. The checks/p. Notes window opened by clicking the transfer button consists of two main sections. The upper section displays the check or P. Note information such as Portfolio Number, Serial Number, Currency Type and Amount. The lower pane of the check/p. note window is used to track the history of the check or P. Note. Data cannot be entered directly or changed on these fields.

The fields and functions on the Customer P. Note window are:

Portfolio No: The tracking number of the P. Note. The string is 8 characters long. Alphanumeric characters can be used to enter the number.

The P. Notes are sorted by their numbers. The Portfolio Number field is mandatory.

Issue Date: Date of issue of the P. Note. This issue date is being used in printing process of Bill of Exchange Ledger.


Due Date: The due date of the P. Note. This field is mandatory.

Aux. Code: A second code field used to classify P. Note records. Contains 10 characters. The Aux. Code is used to classify P. Notes by company specific criteria. This field can also be used to record any necessary information that is not included in the record.

Authorization Code: Used to define authorizations for each record. The string is 10 characters long. Each user may be authorized to use different records depending on the job definitions. Planning must be the first step in order to define authorizations by record. First, records to be accessed by each user or user group should be specified. Then, separate authorization codes are assigned to record groups accessible by each authorization group. Records are encrypted according to the information provided on the Auth. Code field so that only the users who log in with the specified authorization code can access and process the records.

Correspondent Branch: The correspondent branch information. If the bank that issues the P. Note does not have a branch in the company location, transactions are performed with another bank. This field is used to record the name of this bank or branch.

Project Code: The project code of the P. Note. Defined projects are listed, and the appropriate definition is selected.

Attention: Project information can be entered for all administration transactions in LOGO. Report generation and GL integration transactions can be performed by project. Transactions recorded with GL accounts can be associated to more than one overhead pool. For instance, batch purchases may fulfill the needs of different departments within the company. In such cases, the distribution method for overhead pools is recorded along with project definitions. Project definitions are made using the Projects option located in the Main Records menu of the General Ledger section.

Serial No: The number of the P. Note. P. Notes can be searched and sorted in transactions and reports by portfolio number or by serial number. Therefore, P. Notes in LOGO application are sorted both by portfolio number and serial number. P. Notes are sorted within the application by their serial numbers. In this way search and sorting transactions by serial number can be performed quickly.

Place of Payment: The name of the city where the P. Note will be paid.

Guarantor 1/2: The fields that are used to record the guarantors' information in P. Note transactions.

T.C. ID/Tax No: T.C. identity number and tax number of the AR/AP that p. note belongs to. In case the AR/AP of p. note is a "Private Company", the entered T.C. identity number in AR/AP card is transferred to this field automatically and can be changed if necessary.

Endorsement: This field is used to specify whether the check or p. note received from customer is endorsed to our company after it received from another company. If received check or p. note is an endorsement paper, this box is checked. Checks / P. Notes saved with "Endorsement" check, are affect Endorsement Check / P. Note risk total in Risk Info page of AR/AP card.

Stamp Value: The number of stamps to be inserted on the P. Note.

Required Stamp: The total amount of stamps to be inserted on the P. Note. This amount is calculated by the application based on the amount and by processing the note stamp rate, and is transferred into the required value field.

The Note Stamp Rate parameter is located in the Finance Parameters of the definitions menu of the administration section.

Currency Type: This field is used to specify the currency type with which the P. Note amount will be paid. The currency type field contains the following options:

  • Local Currency
  • Reporting Currency
  • Transaction Currency
  • EURO

The amount to be paid is entered into the Amount or Amount in F.C. field depending on the currency type selected.

Amount: The amount of the P. Note.

The lines located at the bottom of the P. Notes Received window are used to track the status changes, in other words, the history of the P. Note. Each change in the status of the P. Note is listed on a separate line along with following column information:

  • Status
  • Date
  • Account
  • Slip Number
  • Slip Type

A check in "S" column indicates that the transaction is performed from the safe deposit.
