In addition to predefined fields, user defined fields can be generated for AR/AP, Material, G/L Account records, Serial / Lot definitions and Invoices, Order Slips, Material Slips and G/L Slips; and such fields can be checked for data entry. The Defined Fields option located in the Global menu of the System Administrator application is used to define fields.
These definitions are accessed through the Defined Fields option located in the right mouse button menu of Invoices, Orders, G/L Slips, AR/APs, Materials and G/L Accounts, and necessary information is recorded. 50 fields can be defined for each AR/AP and each heading and line of Invoices.
User defined fields are recorded by selecting one of the following types:
- Text
- Numeric
- Selection From List
- Date
Definitions to be recorded on fields of "Selection From List" type are recorded on the window accessed by clicking on "..." icon on the Field section. Defining fields by Type selection allows different types of data to be recorded and reported. User defined fields are located on standard field lists of report designs.
When Text fields are to be added to the report, the defined field number assigned in the System Administration section is entered after selecting the Defined Fields (Text Value) standard field content.
When Numeric fields are to be added to the report, the defined field number assigned in the System Administration section is entered after selecting the Defined Fields (Numeric Value) standard field content.
Line numbers and line definitions of "Selection From List" fields are added using Numeric field and Text field options respectively.
Data entry can be controlled if cards and invoices are not wanted to be recorded without entering the information into defined fields. This transaction is performed using Compulsory Fields option located in the Establishment Options menu.
