1. Introduction
Thanks to fiscal period independent method, previous period information can be accessed at any time and carrying over operations are not required at the end of period. Transfer of general ledger module will be enough.

    1. Working As Fiscal Year Independent


"Start Working as Fiscal Period Independent" option located in F9 menu that is accessed over company definitions is used to work without periods irrevocably. After starting to work without periods, period end dates of defined periods can be changed. Provided that user end date is not earlier than the previous end date, the required date can be entered. Date of a period of which end date is entered can not be undone. It can be extended only.
When a company has more than one period, the coincidence of dates can not be controlled. This control is up to user's initiative.
Carrying over operations aren't required in regard to Administration when "Fiscal Period Independent" option is used. The only carrying-over operation to be performed in application is G/L Carrying-Over used to generate G/L "opening/closing" slips.
Regardless of fiscal period range of user's working period, G/L transactions will be performed by specifying fiscal year.

    1. Changes After Selecting "Working As Fiscal Period Independent" Method


  • Filter default values related to Date Range filter in program will be displayed as system date's fiscal year.
  • In accordance with a periodic working, "Totals" tables are updated. While monthly totals are kept in Stock, G/L, Service, AR/AP, Bank totals tables, user will be able to access month and year info of the relevant total through "Year" info added after starting to work as periodic.
  • Balance values will be displayed as total of system date's fiscal year in G/L account cards window.
  • Date info will be added in G/L Account Summary windows and the relevant data will be accessed by years.
  • In AR/AP, Safe Deposit and Bank Account Summary windows, the first line will be "previous period balance" for each year after start year of working period. Previous period balance gives the balance of the previous year. If working period starts during interim period, data recorded from interim period to year-end will be listed for the first year, and annual data will be listed for the following years.


It is provided to list previous period balances in the chart of accounts by giving previous period date in Chart of Accounts Balance Year option added to Administration/Definitions/General Ledger parameters.
1.3. Carrying Over Operations
Carrying over can be performed only for G/L module. Carrying over enables to transfer a fiscal year which will end soon to a new fiscal year. By G/L transfer, opening and closure slips are generated automatically.
Carrying Over Parameters:
Previous Fiscal Year End Date specifies date on which closure slip will be generated. After scanning transactions performed before this date, closure slip transactions and balances are determined.
New Fiscal Year End Date specifies date on which opening slip will be generated.

  • Opening slip transactions consist of transactions that turn out equal balance and adverse balance of closing slips.
  • Closing slips will be generated by only Carrying-over operation in program.
  • Closing and Opening slips generated by Carrying-over can be changed or deleted.
  • Corresponding to this working method added to General Ledger module, "Trial Balance Period" filters are added to Trial Balance and Account Summary reports.
  • Depending on the fact that there is more than one fiscal year within a period, "Work Month" and "Work Year" filters are added to financial tables in order to take comparative reports.


1.4. Accounting Transfer
Accounting transfer can be done by the following selections.

  • Over Transactions
  • Over Totals


1.4.1. Over Transactions

  • End-of-year balance is transferred to the opening slip by considering account transactions according to division, transaction currency type, overhead pool and project code info. Overhead pool and project code distribution are also displayed in opening slip lines.
  • Closure slip is generated automatically by considering G/L transactions of previous fiscal period.


Numeric fields and the relevant windows in G/L account card after carrying-over:
Debit, Local Currency, Reporting Currency, Unit: If outstanding balance of the relevant account is debt, it is displayed in this field in G/L opening slip.
Credit, Local Currency, Reporting Currency, Unit: If outstanding balance of the relevant account is credit, it is displayed in this field in G/L opening slip.
Balance: Debt - Credit
Account Summary: In G/L opening slip, outstanding balance of the relevant account is displayed in opening section of this window.
Totals in F. Currency: In G/L opening slip, transferred transaction currency amounts of the relevant account and corresponding values in local currency unit are displayed in this window.
The fields in Overhead Pool card after carrying over operation:
Debit, Local Currency, Reporting Currency: If outstanding balance of the relevant overhead pool is debt, it is displayed in this field in G/L opening slip.
Credit, Local Currency, Reporting Currency: If outstanding balance of the relevant overhead pool is credit, it is displayed in this field in G/L opening slip.
Balance: Debit - Credit
Account Summary: In G/L opening slip, outstanding balance of the relevant overhead pool is displayed in opening section of this window.
Totals in F. Currency: In G/L opening slips, transferred transaction currency amounts of the relevant overhead pool and corresponding values in local currency unit are displayed in this window.

  • Total balance of a G/L account can not be carried over as a single transaction line. Before carrying over, balance amount is disintegrated according to these two criteria:


According to Transaction Currency Type: After account balances are disintegrated according to overhead pools they are also disintegrated according to transaction currency types and corresponding values in local currency.
According to Division: Balances disintegrated according to transaction currency types are also disintegrated according to division numbers of transactions.

  • Lines in which overhead pools are entered cannot be transferred according to overhead pools. Balances of each account are transferred to account distribution details after they disintegrated according to divisions and transaction currency types.
  • Eventually, G/L account balances related to each division generate separate opening slips of which division numbers are different. Moreover, separate opening lines are generated for G/L account according to overhead pool and transaction currency information.


  • Overhead pool, transaction currency type, currency amount and corresponding values in local and reporting currency take place in these lines. (Exchange rate is calculated as transaction currency balance / local currency)


  • Project code info is also considered in overhead pool transactions


  • Balances of G/L exchange rate difference slips are considered in opening slips.


1.4.2. Over Totals

  • End of year balance is transferred to opening slip by considering account totals according to divisions.
  • Without considering Overhead Pool, Project, Transaction Currency information, account balances are transferred over local currency.
  • A G/L account's total balance is transferred as a single transaction line.
  • Closing slip is generated automatically as a single transaction line for each account by considering the account totals according to divisions.
  • The balances of G/L exchange rate difference slip will be considered at opening slip.

                            
1.90.00 Version Carrying Over Regulations
Opening Slip Line Number Parameter:
"Opening Slip Line Number" filter line is added to Carrying Over parameters. The value entered for this parameter line refers to the total number of lines that will be processed at once during carrying over. The filter default is 300, and Opening Slip Line Number filter can take a value between 1 and 9999.
Let's give some examples:

  • Since line number specified in this filter is the line number of information to be read, when 200 lines of information is read, and this info belongs to three different divisions (40 lines of division numbered 1, 50 lines of division numbered 2 and 110 lines of division numbered 3) 3 opening slips are generated, and 40 lines of info will be transferred for division numbered 1, 50 lines for division numbered 2 and 110 lines for division numbered 3.
  • In previous years, carrying-over transactions were performed in the same method (in terms of evaluation of line numbers). However line number of information to be read could not be changed. Thanks to this filter line, it is provided to increase information – will be transferred to opening slip - up to 9999 lines.


"Divisions to Be Transferred When G/L is Carried Over" Parameter:
G/L transfer is provided to be done for specific divisions. Divisions to be transferred are selected by this parameter line. Opening and closure slips will be generated for these selected divisions.
